Privacy Notice for Your Registration for the Event "DIGITAL FASHION & RETAIL DAYS"

Thank you for your interest in the Digital Fashion & Retail Days 2025. Protecting your personal data is very important to us. Below, we inform you in accordance with Articles 13 and 26 of the GDPR about how your data is processed in the context of registration and participation in our event.

2. Scope of Data Processing

As part of your event registration, we process the following data:

  • Title, first name, last name

  • Company, position

  • Email address, and if applicable, telephone number

  • Preferences regarding event participation

  • Information on the invitation via a partner (e.g. invitation code or selection field)

3. Purpose of Processing

Your data is processed for the following purposes:

  • Invitation and organisational handling of the event

  • Communication before, during, and after the event (e.g. agenda, reminders, follow-up)

  • Creation of participant lists (for internal use or visible at the event venue)

  • Sending supporting materials (e.g. presentation slides, photos, feedback requests)

  • On-site admission or security checks

  • Delivery of organisational information via messenger services (e.g. WhatsApp) to ensure smooth communication and event flow

4. Legal Basis for Processing

Your data is processed based on your consent in accordance with Article 6(1)(a) GDPR.
You may withdraw your consent at any time with future effect. The withdrawal does not affect the lawfulness of any processing carried out before the withdrawal.

Additionally, data is processed pursuant to Article 6(1)(b) GDPR – for the performance of the event and associated organisational measures. This includes contacting you via email and, if applicable, via messenger services such as WhatsApp.

5. Joint Controllership (Art. 26 GDPR)

SPH AG and the partner companies through which you may have received your invitation work together in joint controllership pursuant to Article 26 GDPR.
You may request a copy of the main contents of the joint controllership agreement by emailing: datenschutz@sph-ag.com.

6. Recipients and Data Processors

To fulfil the purposes outlined above, we use carefully selected service providers, including:

  • Event platform or form provider (WordPress)

  • Email delivery service provider (Rapidmail)

  • IT and agency partners for technical support

  • Print service providers for badges or materials

These service providers are contractually bound as processors in accordance with Article 28 GDPR and act solely on our instructions.

7. Data Transfers to Third Countries

If service providers based in third countries (e.g. the USA) are used, we ensure that appropriate safeguards (such as EU standard contractual clauses) are in place.

8. Data Retention

Your personal data will be deleted no later than six months after the end of the event, unless legal retention obligations apply or you have given further consent (e.g. to receive future invitations or newsletters).

9. Your Rights as a Data Subject

You have the following rights at any time:

  • Access to your stored data (Art. 15 GDPR)

  • Rectification of inaccurate data (Art. 16 GDPR)

  • Erasure of your data (Art. 17 GDPR)

  • Restriction of processing (Art. 18 GDPR)

  • Data portability (Art. 20 GDPR)

  • Objection to processing (Art. 21 GDPR)

  • Complaint to a supervisory authority, such as the State Commissioner for Data Protection and Freedom of Information in Baden-Württemberg

10. Photography and Video Recording

Photo and video recordings will be taken during the “Digital Fashion & Retail Days 2025.” These may be used for documentation and public relations purposes—for example, on the SPH AG website, in presentations, on social media channels, or in event-related publications.

Processing is based on our legitimate interest in accordance with Article 6(1)(f) GDPR in promoting and documenting our events and activities.

If you do not wish to appear in any recordings, please inform the photography team or event reception on-site. We will then take appropriate measures to protect your personal rights.
